Are Digital Receipts Valid for the CRA? Email and Photo Receipts Explained

The CRA officially accepts digital images of receipts as valid business records. This policy has been in place since 2007 and applies to smartphone photos, scanned PDFs, and email receipts from vendors. You are not required to keep paper originals once you have a clear digital copy — but the digital copy must meet specific standards.
Requirements for a Valid Digital Receipt
- Must be a complete, unaltered image — no cropping that removes any required field
- All required information must be legible: vendor name, date, total, GST/HST number
- Must be in a stable format — PDF or JPEG are preferred over editable formats like .docx
- Stored in at least two locations (e.g., cloud backup + local drive) for durability
- Metadata should ideally reflect when the image was captured (most phone cameras preserve this automatically)
The CRA's guidance (Information Circular IC05-1R1) states that electronic records must be 'accessible, readable and printable' on request. If you store receipts in an app, make sure you can export them in a standard format.
Email Receipts from Vendors
Email receipts directly from vendors are fully valid CRA documents — provided they include all required information. Save them as PDF files rather than leaving them in an email inbox. Email services change, accounts get deleted, and corporate email is sometimes wiped on departure. A downloaded PDF in cloud storage is far more durable than an email in a live inbox.
